If you are planning a wedding in Austin, San Antonio, or somewhere in the Texas Hill Country, you may be wondering what happens after you book your wedding photographer and before the wedding day finally arrives.
Hiring a photographer is a big decision. You are trusting someone to document the people, relationships and moments that will matter to you for decades. Knowing what happens behind the scenes can make that decision feel much more comfortable.

I’m Brittney Welch, an Austin and San Antonio wedding photographer. Over the past eight years, I have learned that the work I do before picking up my camera matters just as much as the photographs I create on the wedding day.
Here is an honest look at how I prepare, from our first planning conversation to the moment my team and I arrive.
Once you are officially booked, we begin with a planning call. Your wedding planner will often join us so we can all get aligned early.
This is not a sales call. You have already chosen me by this point. This conversation is about understanding how you want the day to feel and making sure the people behind the scenes know what matters most to you.
I want to hear what you are excited about, what you are nervous about and which parts of the day feel especially meaningful. If you have a planner, this is also when we begin building our own shorthand. When your planner understands what I need and I understand how they work, the wedding day flows more smoothly for everyone, especially you.
Next, I ask for a few important pieces of information:
Your inspiration tells me much more than which photographs you think are pretty. It helps me understand the mood you are drawn to, the way you respond to light and movement and how you want your wedding photographs to feel.
I do not use your inspiration to recreate someone else’s wedding. I use it to better understand your taste and shape an approach that feels personal to you.
This step allows me to prepare differently for every celebration, whether I am photographing a downtown Austin wedding, a San Antonio celebration or a weekend at one of the beautiful wedding venues throughout the Texas Hill Country.

I also request linen, if it’s available for your wedding, ahead of time. This might be a piece of fabric, a table runner, or a swatch from your planner. I use it for what’s called a flat lay kit, the styled arrangement of your rings, invitation suite, and other small details. I photograph this at the start of the day. Having the right linen on hand means I’m not scrambling the morning of. It also means those detail shots reflect your actual color palette and style.
You can also request to have this flat lay done a day early. This takes it off our list of things to shoot on the wedding day itself and gives us more breathing room in the timeline. It’s also a fun excuse for us to spend time together before the big day. I love bonding with my couples outside of the wedding day rush, and this is a simple, low pressure way to do it.
Once I have your timeline, inspiration and notes from our conversations, I create a separate version of the wedding day inside my Notes app.
This is not simply a copy of the planner’s timeline. It is an incredibly detailed photography plan built from everything you have shared with me.
It may include lighting considerations, travel time between locations, family portrait groupings, important relationships and any family dynamics my team should navigate with care. I also include the smaller details that could easily be missed if we had not discussed them beforehand.
My process looks completely different from the one I used when I first became a wedding photographer eight years ago. Experience has taught me that thoughtful preparation creates more freedom on the wedding day.
When my team and I have already considered the timeline, lighting, family relationships and overall flow, we can stay fully present. We are not spending the day troubleshooting or searching through emails for information. We already know where to be, who to look for and what deserves our attention.
The plan does not make the photography feel rigid. It gives us the freedom to document the day as it naturally unfolds.

All of this preparation is designed to disappear once your wedding day begins.
You should not have to think about the weeks of planning happening behind the scenes. You should simply experience a photographer and team who understand your priorities, recognize the important people in your life and already know how to move through the day.
That sense of ease is not accidental. It is the result of careful preparation and years of experience.
The same process applies whether I am photographing an intimate wedding in downtown Austin, a large celebration in San Antonio or a full wedding weekend in the Texas Hill Country. It is how I create a calm, thoughtful and well documented experience for every couple, regardless of the location or size of the celebration.
If you are searching for an Austin, San Antonio or Texas Hill Country wedding photographer, I would love to hear what you are planning and help you create a photography experience that feels completely personal to you.
